Responses Module Overview

The Responses module acts as a centralized hub for customer/entity users to viewmanage, and moderate assessment responses. It provides users with the tools to access individual or aggregated responses, customize reports, and utilize metadata and filtering functionalities for efficient response tracking and analysis.

 


Key Features and Functionalities

1. View and Moderate Responses

  • Purpose: Enable users to access and (where permitted) edit or moderate assessment responses.
  • Capabilities:
    • Two Tabs for Responses:
      • Own Tab: Displays responses submitted by the signed-in user.
      • Other Tab: Displays responses submitted by other users (requires appropriate permissions).
    • Opening a Response:
      • Access the full response details by clicking on a specific response.
      • Provides an "Edit" button (only available to users with the necessary permissions) to modify or moderate submissions.

Steps to View or Moderate Responses:

  1. Navigate to the Responses module.
  2. Select the appropriate tab:
    • Own Tab for personal responses.
    • Other Tab for responses from other users if permissions allow.
  3. Open the desired response to view:
    • Response Details: Full content of the response.
    • Edit Button: Available for users with moderation permissions to edit the response.
  4. Save after applying changes if the response was edited.

 


2. Response Metadata

  • Purpose: Provide supplementary details about each response for transparency and traceability.
  • Capabilities:
    • Metadata View:
      • Assessment Linkage: Connects the response to its corresponding assessment.
      • Respondent Details: Identifies the user who submitted the response.
      • Date/Time Stamp: Provides the exact submission timestamp.
      • Raw Response Download: Download the raw response as a PDF to store or share it offline.
    • Report Download:
      • If the linked assessment includes a response-specific report template, users can generate and download the report.

Steps to Access Response Metadata:

  1. Open a response in the Responses module.
  2. Navigate to the Meta Data tab.
  3. View the displayed information:
    • Assessment linkage, respondent details, and timestamps.
  4. Use options to:
    • Download Raw Response PDF.
    • Download a response-specific report if available.

 


3. Advanced Report Downloads

  • Purpose: Generate customizable reports for broader insights and deeper analysis.
  • Capabilities:
    • Reporting Tab:
      • Generate reports using predefined custom templates configured on the platform.
    • Advanced Response Filters:
      • Apply filters to select and combine data for detailed reporting.
      • Filters work with data joins (as defined in the Tenants section of the user guide) to create cross-set reports.

Steps to Generate and Download Reports:

  1. Go to the Reports Tab in the Responses module.
  2. Select a custom report template or configure filters:
    • Use response filters to limit the data scope.
  3. Download the report in the desired format for analysis.
