Campaigns Module Overview

The Campaigns module offers users a comprehensive and structured approach to managing campaign workflows, including planning, audience management, personalization, execution, and detailed analysis. Flexible features like campaign grouping, customizable emails, and support for various campaign types ensure the module adapts to diverse organizational needs, enhancing efficiency and reporting capabilities.

 


Key Features and Functionalities

1. Create a Campaign Group

  • Purpose: Group related campaigns for better organization and reporting.
  • Capabilities:
    • Campaign Groups allow users to group campaigns based on specific criteria like regions, departments, or projects.
    • Simplifies reporting by enabling aggregated visibility across grouped campaigns.

Example:

  • Grouping sales campaigns by geographic region (e.g., North America, Europe) for region-specific reporting.

Steps to Create a Campaign Group:

  1. Navigate to the Campaign Groups section.
  2. Select "Create New Group" and provide a Group Name.
  3. Add related campaigns to the group for better reporting and tracking.

 


2. Launch a New Campaign

  • Purpose: Create and launch campaigns tailored to different assessments and organizational needs.
  • Capabilities:
    • Step-by-Step Setup Process:
      1. Input Campaign Details:
        • Set the Campaign ID and Name.
        • Link the campaign to a specific user group.
      2. Select the Assessment:
        • Choose the relevant assessment or assessment group.
        • Optionally link the campaign to a collection item for tracking purposes.
      3. Specify the Audience:
        • Assign the campaign audience (a single user, user list, or predefined user groups).
      4. Email Personalization:
        • Customize campaign emails using:
          • Default or custom templates.
          • Variables and URLs for dynamic content.
      5. Set Campaign Reminders and Expiration:
        • Define reminder frequencies (e.g., weekly reminders).
        • Set the campaign’s expiration (e.g., close the campaign after 3 weeks or a maximum of 10 reminders).
        • Default closing period is 3 months.

Campaign Types:

  • Public Campaign:
    • Provides a public link and iframe code for embedding on websites.
    • Respondents can be:
      • Anonymous.
      • Identified if name/email mapping fields are enabled.
  • Data Collector Campaign:
    • Generates a webhook endpoint for integrating external assessments or forms.
    • Responses from external forms can be sent to the platform for analysis.
  • Standard Campaign:
    • Sends email invitations to the assigned campaign audience.

Steps to Launch a Standard Campaign:

  1. Start a new campaign and provide the campaign name and user group.
  2. Select the assessment or assessment group.
  3. Assign the audience (individuals, list, or user group).
  4. Customize the email invitation content and reminders.
  5. Launch the campaign.

 


3. Continue a Draft Campaign

  • Purpose: Save progress and avoid losing work on campaign creation.
  • Capabilities:
    • Users can save unfinished campaigns as drafts.
    • Drafts can be revisited and continued later.

Steps to Continue a Draft Campaign:

  1. Navigate to the Draft Campaigns section.
  2. Select an existing draft.
  3. Continue editing and complete the remaining steps.
  4. Launch the finalized campaign.

 


4. Review an Already Running or Closed Campaign

  • Purpose: Analyze and track the progress and results of campaigns.
  • Capabilities:
    • Overview:
      • Displays key campaign metadata like:
        • Launch date.
        • Campaign owner.
        • Linked assessments, number of responses, and closing date.
      • Additional features:
        • Upload supplementary documents related to the campaign.
        • Adjust linked report templates if needed.
    • Audience:
      • Track participation by viewing:
        • Invited respondents.
        • Response status (responded/not responded).
        • Participant response dates.
    • Responses:
      • View all campaign responses:
        • Data presented in tables for detailed analysis.
        • Visualized as charts for quick insights.
    • Reports:
      • If the linked assessment includes a report template (with "Campaign" scope):
        • Download reports directly from the module.
